The Marketing Communications operation at Brown University is dedicated to providing value and expertise to campus units by delivering tailored solutions that align with unit goals and the institutionâ™s mission. Reporting to the Director of Client Relations, the Project Manager within the marketing team of the Office of University Communications delivers high-quality, strategic marketing and communications projects and superior customer service to a wide range of constituents at Brown. The Office of University Communications offers visual identity and multi-platform visual design; web and digital communications strategy and front-end development; photography; video production; print production; and mail services. The Project Manager executes daily project tasks that include managing workflows and relationships that involve identifying client needs, assigning projects to a collaborative team of content and design professionals, developing project schedules and milestones, and stewarding projects through production.
The Project Manager leverages project management systems within the Office of University Communications to facilitate this work. The Project Manager also contributes to management of the external preferred vendor program for the Office of University Communications, as well as managing the production for promotional items and assisting with print production-related tasks such as press checks and mail services. The Project Manager also helps to measure project goals by providing cross-channel metrics on a regular basis.
Manages multi-channel projects to completion in collaboration with an integrated team of more than 40 marketing and communications professionals and delivers superior customer service to Office of University Communications clients.
Schedules kickoff meetings, drafts project briefs, and develops cross-functional timelines.
Manages daily project tasks in Brownâ™s project management tool, Workfront, and its MIS project management system, including opening and closing projects and adjusting deadlines as needed.
Oversees the review and approval processes for multiple campus constituents with tact and diplomacy.
Manages production-related tasks, including print mailings and press checks, in support of Creative Services team.
Stewards projects through the print and mail program, educating customers on mail methods and specifications, preparing cost estimates via MIS, and coordinating delivery requirements.
Communicates timelines and deliverables, manages feedback, gathers data and budget information, and resolves client issues, upholding the standard of excellence for client relations, responsiveness and communication, and best practices in project management.
Helps oversee and coordinate the external preferred vendor program, recommending services to clients according to the Office of University Communications service model.
Maintains a database of preferred vendors, and collects and analyzes client feedback regarding the quality and customer service delivered by vendors.
Maintains vendor portfolios online and makes recommendations to clients based on project needs.
Maintains ongoing vendor relationships, according to criteria set by the Office of University Communications, and assists the Director of Client Relations in providing training materials for vendors.
Assists with decisions regarding addition of vendors and expired terms of vendors in the program, working with the Universityâ™s Purchasing Office.
Tracks utilization of the program through assessment of spending for various categories of communications suppliers.
Manages external vendors, production and processes for promotional items.
Assists clients in reviewing and approving proofs and in coordinating delivery of items.
Develops multi-channel dashboards, and regularly reports engagement metrics, where applicable.
Maintains multi-channel metrics dashboards that include email, social media, video, and web engagement.
Reports metrics, as appropriate, at project launch and completion with a focus on engagement related to high-priority projects.
Maintains quarterly and annual dashboards to inform future strategy and planning.
Bachelorâ™s degree required
Minimum 3 years of experience in a client relations/project management role in a highly complex organization
Experience overseeing the production cycle of print publications and promotional items
Experience managing external vendors
Experience with project management software
Experience working in a creative environment
Strong verbal and written communication skills
Positive, customer service-oriented team player
Proven proficiency in managing multiple projects with competing deadlines in a fast-paced, high-volume environment
Knowledge of print, web and digital marketing services and offerings
Demonstrated ability to manage external vendor relationships and maintain strong relationships
Broad interest in and understanding of higher education issues
The Project Manager plays a critical role in helping to integrate the workflows and processes of the entire staff within the Office of University Communications. The Project Manager role requires a valid driverâ™s license and the ability to drive to offsite locations for meetings with local vendors and other production-related tasks.
