Advertised Summary Job Description: Supervised by the Director of Online Support within the SPS Curriculum and Instruction team, the Webinar Specialist is responsible for the training, administration, and technical support of online meeting solutions and related academic technologies available for online class sessions at the School of Professional Studies.
The Webinar Specialist will work directly with faculty members, Instructional Designers, and Educational Technologists to define the content, visual and interactive experience of online class sessions and other synchronous interactions in hybrid or online courses. S/he will facilitate planned team activities in the execution of virtual events and provide first-tier technical support for users' desktop, audio and video environments. The Webinar Specialist plays a critical role in continuous improvement and faculty development. S/he will create participant activity reports, identify elements of best practice and areas of improvement, and inspire faculty adopt innovative tactics that optimize virtual team-building activities in the web conference events.
Note: This position requires evening hours on weekdays and occasional weekends.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES: (100% of total job)
Training: Provide training on core online meeting solutions for new faculty and course associates. - Design and implement training for online meeting solutions which covers: proper usage, essential features, and best practice tips/tricks. - Draft and distribute communications to instructors/Faculty Affairs on available training dates and times prior to each term. Provide registration forms, track participation, record trainings, and follow up with those who haven't attended. - Regularly update training documentation to address: new features/software updates, top reported helpdesk issues, and policy/programmatic changes.
Administration: Manage the successful delivery of online class sessions for the School of Professional Studies and partner programs. - Manage the administrative back end of select web-conferencing technologies, including: account creation and management, host permissions, account setting customization, recordings, and reporting. - Attend regular meetings with the Online Support team and Curriculum and Instruction team focused on quality and support - Schedule pre-flight planning meetings and technical checks with select instructors in preparation for their online class sessions. - Participate in the Quality Assurance process for SPS courses prior to course launch. Participate in demos, testing, and pilots of new online meeting solutions. - Identifies potential problems early, and contributes to solving those problems in a timely manner.
- Webinar and Helpdesk Support: Provide webinar and helpdesk support for online meeting solutions and other academic technologies to faculty, students, and staff. - Provide direct in-meeting support to faculty, students and guest speakers during select online class sessions. - Support student and faculty use of audio and video devices, and interactive webinar features such as chat, polls, screenshare, and breakouts. - Serve as point person for escalation of any support issues related to webinars and online classes. Identify potential problems early, and contribute to solving those problems in a timely manner. - Update help center resources, including technology guides, and frequently asked questions. - Work closely with Director and team to track issues, create reports, and use helpdesk analytics to improve support offerings.
General Minimum Qualifications: - Bachelor's degree required. - Demonstrated evidence of professional experience managing virtual teams, or working as a webinar producer, desktop support specialist, instructional designer or educational technologist in higher ed contexts. - A minimum of two years of related experience.
Additional Specific Minimum Qualifications: - Experience managing and/or working on virtual teams. - A solid and current understanding of video conference technologies and online meeting solutions, including Zoom, Adobe Connect, WebEx, GoToMeeting, Skype and Google Hangouts. - Experience with helpdesk or ticketing software. - Experience with learning management systems. - A willingness to experiment with emerging technologies to enable virtual teams. - A solid understanding of desktop computing environments. - A customer-service orientation aimed at helping users optimize their use of audio and video in online class sessions.
Preferred Qualifications: - Visual design experience, working with Adobe Creative Suite. - Publishing and/or materials writing experience. - Experience as an instructor in higher ed or corporate environments. - Strong organizational and management abilities, creative problem-solving skills, excellent written and verbal communication skills, with the ability to negotiate and influence others. - Ability to manage multiple projects on a cross-functional team and deliver results under prescribed deadlines. - A solid and current understanding of data analytics and reporting
