JOB DESCRIPTION SUMMARY This position is on-site in our Irvine office and reports to the Manager of Operations Training. The position is responsible for the documentation of business processes and for providing research assistance to operations management. They also document business processes, workflows and training process content. Additionally, they work with management to analyze the business processes, workflows and training material for improvement opportunities and, when needed, help define the operational impact of proposed modifications.
QUALIFICATIONS • Minimum 5 years experience as a Technical Writer in an IT environment. • Process and/or procedural efficiency certification or experience (ex. Lean, Six Sigma, TQM, etc.). • Ability to organize, plan and prioritize work. This includes the development of specific goals to prioritize, organize and accomplish duties and responsibilities, as well as the use of critical thinking to identify strengths and weaknesses of alternative solutions, conclusions or approaches to problems. • Advanced degree of skill in developing constructive and cooperative working relationships as well as coordinating efforts and priorities with competing demands, preferably in a health insurance company. • Demonstrated experience with organizing, writing, editing and publishing operational, instructional, and maintenance documentation using established standards for format, clarity, conciseness, style, and terminology. • Excellent verbal, written and interpersonal skills. • Ability to develop standards and protocols with team members for project documentation. • Strong problem solving and critical thinking skills. • Strong organizational skills and attention to detail. • Expert in Microsoft Visio and Adobe Acrobat • High level of proficiency in Excel, Visio, Word, PowerPoint. • Excellent knowledge of English and ability to research and thus write reports or other documents typical in a business environment. • Ability to learn new technologies and systems is required.
DUTIES AND RESPONSIBILITIES Process Documentation • Interview internal Business Subject Matter Experts (SMEs) to understand work functions and processes and gather information. • Develop materials to document operational end-to-end process flows. • Write detailed policy and procedure documents in conjunction with process flows with an emphasis on accuracy and compliance with business need. • Develop business process training content, job aids, and other educational material. • Maintain the Master Document Control Listing and ensure compliance with documentation procedures. • Ensure the technical accuracy, adequacy, and quality of technical publications by applying quality control processes and checks. • Coordinate the review and approval of business process documentation with internal stakeholders.
Process Improvement & Research • Work with end users on their programming requests. Help them determine what can be done and document request for developers. • Document findings of workflow study and prepare recommendations for revised procedures or departmental workflow changes. • Collaborate and work with operational departments to process information/metrics, including compiling, coding, categorizing, calculating, auditing or verifying information or data related to production needs. • Provide research assistance to management and assist with other projects on an as needed basis.
Other • Maintain a Health Insurance Portability and Accountability Act (HIPAA) compliant workstation and utilize appropriate security techniques to ensure HIPAA required protection of all confidential/protected client and enrollee data. • Utilize all capabilities to satisfy one mission — to enhance the competitiveness and profitability of our members.
