The Part time Campus Visit Coordinator (CVC) fills a critical role within the department of Enrollment Services. This role will provide coordination for all aspects of an engaging and professional campus visitation program. As the first point of contact for many campus guests, the CVC will create a welcoming and hospitable environment for prospective students and their families. This position serves as an integral part of the enrollment team requiring an advanced level of knowledge of enrollment processes and college services. The successful candidate will demonstrate the ability to be a team player in a fast-paced environment, plan and execute quality visits, respond to last minute visit requests and work closely with Student Ambassadors. Detail work is a focus of this job and those details need to be handled quickly, correctly and efficiently in order to maintain and grow relationships with external and internal customers.
Essential Job Duties and Responsibilities: • Coordinate campus visits for both small and large groups of local primary and secondary schools and community organizations. • Coordinate campus visits for prospective students and their families—ensure these visits are personalized, well-planned and executed. • Respond to requests for campus visits. • Assume responsibility and facilitation for all weekly campus tours, group tours and other visit programs; tailoring to individual/group needs. • Work closely with Washtenaw Community College (WCC) stakeholders, including but not limited to faculty, Student Services departments and facilities. • Maintain event registration information in a timely and accurate fashion; provide frequent updates. • Utilize EMAS (CRM) and Banner (Student Information System) extensively to aid in recruitment efforts and meeting recruitment goals. • Follow-up with prospective students from stages of inquiry through enrollment. • Research partnerships and programs to connect prospective students to WCC. • Educate prospective students on topics such as academic programs, campus resources, financial aid, costs, enrollment process, etc. • Provide superior customer service and build relationships with prospective students, parents and community partners. • Train Student Ambassadors and staff on the campus tour process and documentation. • Manage inventory levels of marketing and promotional materials and coordinate ordering supplies as needed. • Serve as the primary contact for visit inquiries, responding to questions and requests. • Assist with other various campus events. • Monitor, track and update monthly campus tour and high school visit report. • Regional light travel may be required for this position. • Regular attendance on campus is required for this position. • Other duties as assigned.
Hours/Schedule: This is a part time position that will work between 20-25 hours per week with varying days and hours. Work is on and off-campus with some evening shifts, day shifts, and some Saturdays
Work Environment: On and off campus in-person and virtual -subject to college operations. Environment is fast-paced and continuously changing.
Minimum Required Knowledge, Skills and Abilities: • Bachelor’s Degree in Technical Writing, Journalism, Instructional Design, Higher Education or related field in Education, Writing or Communications. • At least one year experience composing exams consisting of multiple choice and short answer questions for secondary and/or post-secondary course education. • Excellent English writing style and grammar proofreading skills. • Excellent reading comprehension of technical training manuals and textbooks. • Comfortable learning about fire protection systems, sprinkler fitting, and other union construction trades at an accelerated pace and discussing topics with union trades Subject Matter Experts. • Able to professionally and effectively communicate and coordinate with union tradesmen, instructors and College administrators. • Proficient use of Windows, Word, Excel and web-browsing software. • Familiarity with at least two programs from Adobe Creative Suite (Acrobat, Photoshop, Illustrator, InDesign, Flash, Premiere, etc.). • Familiarity with at least one Learning Management System such as Blackboard or Moodle. • Able to learn unfamiliar eLearning software with minimal training, able to self-troubleshoot/research unfamiliar software functions. • Able to write and concentrate in a multi-task, call-center environment. • Able to work independently, prioritize tasks, and complete projects by deadline with minimal supervision. • Able to handle confidential materials and student information appropriately.
Additional Preferred Qualifications: • Master’s Degree in Technical Writing, Journalism, Instructional Design, Higher Education or related field in Education, Writing or Communications. • At least one year experience writing or copy editing educational, technical training, and/or consumer instructional texts. • At least one year experience as instructor or instructional designer for an online course. • Documented training experience of at least 20 hours (formal class and/or conference workshop training) in Instructional Design and/or eLearning practices and principles. • Familiarity with Examview, Storyline Articulate, and/or Adobe Captivate.
